The Basics

A relational database provides an effective and easy way to manage customer and prospect information. It's a first step for building your own Customer Relationship Management (CRM) System.

Can you use a spreadsheet instead? Maybe – but it's our experience that a spreadsheet has many limitations as compared to a database.

Storing related information, linking organizations with persons, validating the information while entering it, filtering, selecting, sorting, querying etc comes to mind. A database is so much more powerful.

We're using 'MS Access' (part of the Microsoft® Office Professional environment) to develop databases.

Prerequisite: Office 2007 or higher needs to be installed on your computer.

General Tip

Help & Function Keys

  • Hovering over some buttons or fields (here as well as in the real database) will display additional information.
  • Help buttons and fields work differently. For help on a field, put your cursor into the field and press 'F1'. For help on a button, hold the ALT key and ‘click’ the button.
  • 'F2' will select or un-select the content of a field.
  • 'F6' brings up an empty company record.
  • 'F7' can be used to perform a spell check.

Importing Your Data

For existing data in diverse formats and/or for external lists you might acquire, we recommend to have us do an extensive clean-up before you import the information into your new database.

You might want to have ...

  • your addresses corrected (SERP and CASS)
  • your addresses checked against the National Change Of Address (NCOA) database to find out whether or not someone has moved
  • duplicate addresses removed and important information transferred to the surviving record.
  • personal titles (Mr. or Ms.) added to your addresses
  • UPPER case addresses converted to upper and lower case
